ASSISTANT PROPERTY MANAGER – Boston, MA
The Opportunity:
National Development (ND) is seeking an Assistant Property Manager. The ideal candidate will be able to work independently and be able to multitask and problem-solve. This role must be capable of managing multiple tasks and responsibilities, with a focus on superior tenant and building customer service, which requires excellent written and verbal communication skills.
Please note: This position is 40 hours per week and in person / office 5 days per week.
As an Assistant Property Manager, your primary responsibilities include:
- Provide excellent tenant service. Respond to tenant requests/problems promptly and courteously, and monitor/follow up with work orders directed to vendors or maintenance staff. Follow up with the tenant to ensure a satisfactory resolution of the issue. Ensure that there is always 24-hour emergency coverage for the property.
- Oversee all vendors and personnel working at the property to maintain a high standard of performance in accordance with the terms of contracts and the expectations of the owners and tenants.
- Manage onsite personnel, including maintenance mechanic, day porter, and security services.
- Ensure that all contractors working at the properties have current insurance certificates on file, meeting the minimum requirements specified in the management agreements.
- Conduct regular inspections of the property and tenant spaces to ensure compliance with leases, compliance with life safety policies, and the proper upkeep of the property.
- Assist with tenant and owner requests for signage and ensure compliance with zoning law and lease provisions.
- Assist with preparing and presenting the annual operating budget to ownership, including gathering information such as quotes, energy consumption records, market data, etc., that will be needed in compiling the budget.
- Review, approve, and properly code all invoices for the property.
- Ensure that property and lease files are properly maintained and kept up to date in accordance with company policy.
- Assist in reviewing the property's monthly financial results and reporting variances and activity to ownership.
- Assist accounting in preparing year-end CAM and RETX reconciliations in a timely and accurate manner.
- Monitor and report on accounts receivables on a re-occurring basis. Assist in collection efforts in accordance with company and management agreement policies.
- Oversee the percentage sales collection process, including but not limited to, collecting monthly sales information from the retail tenants, reporting the monthly sales to ownership and other required parties, generating percentage rent invoices for retail tenants that have exceeded their breakpoint.
- Assist Senior Property Manager and Chief Engineer in the timely collection of the monthly utility data from the retail tenants to meet the Energy Star Portfolio Manager data entry timeline.
- Assist with bidding and coordinating tenant improvement, planned repair and maintenance and capital improvement projects.
- Assist the Senior Property Manager with organizing the construction and capital projects, including, but not limited to, preparing Agreements with contractors, organizing the capital and construction folders, monitoring jobs in the construction management system, generating invoices for the construction management fees, and monitoring the CM fees tracking sheet.
- Assist with reviewing and updating the Tenant Handbook, Building Rules and Regulations and Emergency Response Training Presentation.
- Assist with administering tenant move-ins and move-outs, including overseeing the new Tenant pre-move-in checklist and vacating tenant move-out checklist, reviewing and communicating yield-up provisions, and conducting final inspections.
- Monitor and track the monthly occupancy and vacancy reports and report updates to the cleaning company.
- Review master floor plans, stacking plans and VTS leasing report monthly to ensure all information is up to date.
- Work with the Senior Property Manager to strategize on tenant events to engage tenant participation.
- Assist the Senior Property Manager in furthering ESG and sustainability efforts.
- Assist the leasing team in maximizing their efforts to market the property to prospective tenants. Ensure all vacant spaces are in “showable” condition.
- Assist Senior Property Manager with overseeing Tenant Surveys (i.e., Kingsley survey).

What You Bring to Us:
- 3-5 years of experience in commercial real estate
- Bachelor's degree preferred
- Working knowledge in the field of property management and/or real estate preferred
- Budgeting and financial reporting experience a plus
- Proficient in MS Office (Word, Excel, PowerPoint, Outlook)
- Self-motivated, independent individual desired
- Client service oriented attitude
- Outstanding communication skills, both written and verbal
- Desire to pursue career in commercial real estate industry
- Experience in Yardi a plus
