A Legal Secretary/Receptionist plays a crucial role in the daily operations of a personal injury law firm. This position involves a combination of administrative duties and client-facing responsibilities. The primary objective is to provide efficient administrative support to attorneys and staff while also ensuring a welcoming and organized reception area for clients and visitors.
Key Responsibilities:
Reception Duties
Greet clients and visitors in a courteous and professional manner.
Answer and direct incoming phone calls to the appropriate person or department.
Maintain a clean and organized reception area.
Schedule client appointments and manage attorney calendars.
Handle incoming and outgoing mail and packages.
Administrative Support:
Draft and edit legal documents, correspondence, and reports.
Organize and maintain physical and electronic filing systems.
Assist with case file management, including data entry, indexing, and document retrieval.
Prepare and manage attorney expense reports and billing.
Coordinate meetings, depositions, and court appearances for attorneys.
Manage office supplies and order as needed.
Client Interaction:
Act as the first point of contact for client inquiries and requests.
Provide information to clients about case status and procedures.
Assist clients in completing necessary forms and paperwork.
Maintain client confidentiality and handle sensitive information with discretion.
Legal Research and Documentation:
Assist attorneys in conducting legal research and gathering relevant case information.
Prepare and file legal documents with courts, agencies, and opposing counsel.
Maintain and update legal databases and case management software.
Team Collaboration:
Collaborate with attorneys, paralegals, and other support staff to ensure efficient workflow.
Provide backup support to other team members when needed.
Assist in the preparation of trial binders and exhibits for court appearances.
