Job Description:
We are seeking a highly organized and proactive Executive Assistant & Listing Coordinator to join our team. The ideal candidate will provide comprehensive administrative support, manage listing processes, coordinate some pre-listing services, and handle basic financial and operational tasks to ensure a seamless experience for our clients.
Key Responsibilities:
Administrative Support:
- Manage office supplies, organize files, and handle phone calls.
- Schedule appointments and manage calendars.
- Respond to emails and inquiries promptly.
Transaction Management:
- Update transaction statuses in Command.
- Oversee timelines and proper documentation filling.
- Serve as an extra point of contact and support between Agent, Clients and Remote Transaction Manager.
Client Communication:
- Update CRM (Lofty/Chime) with client interactions.
- Send follow-up emails and schedule meetings/appointments.
- Prepare support material for client consultations and meetings.
Listing Management:
- Handle different in-house aspects of the listing process, including MLS updates and feedback collection.
- Coordinate pre-listing efforts.
- Prepare pre-listing recommendations based on notes and photos provided by agents.
Basic Marketing and Content Creation:
- Create and schedule basic social media posts.
- Design marketing materials using Canva.
- Monitor social media engagement and respond to comments.
Financial and Operational Tasks:
- Simple Payroll Processing: Manage communication with payroll company ensuring timely processing as well as processing audits when needed.
- Commission Processing: Calculate, Process and Track Commissions Payments & Projections for the team.
- Bill Payments: Process and pay bills and invoices on time.
- Expenses Tracking: Track and record all team expenses, maintaining accurate financial records.
Qualifications:
- Proven experience in an administrative or coordinator role, preferably in real estate.
- Strong organizational and multitasking skills.
- Excellent communication abilities.
- Proficiency in CRM systems, Google Suite, social media platforms, and Canva.
- Detail-oriented with the ability to manage multiple tasks and deadlines.
- Knowledge of real estate transactions and processes is a plus.
- Basic understanding of financial processes and budget planning.
