We are seeking a highly organized and efficient Scheduler and Receptionist to join our team. The ideal candidate will have excellent organizational skills, some knowledge of water damage or construction, the ability to learn quickly, receive feedback and ask questions. This role involves answering phones, scheduling jobs, dispatching teams, and gathering comprehensive information from the initial phone call. Experience in scheduling or dispatch in construction or emergency services is a plus.
Key Responsibilities:
- Answer and direct phone calls in a polite and friendly manner, demonstrating empathy for emergency situations
- Handle intake of jobs, gathering detailed information during the first phone call
- Schedule and coordinate jobs and appointments for water mitigation services
- Dispatch crews to job sites and ensure they have all necessary information
- Maintain an organized and efficient office environment
- Assist with administrative tasks as needed
- Learn and utilize various programs and software, like Xactimate, FieldPulse, Flock, DocuSign and Quickbooks (training provided)
Qualifications:
- Excellent organizational and multitasking skills
- Strong communication skills, both written and verbal
- Experience answering phones and providing customer service
- Some knowledge of water damage or construction preferred
- Experience in scheduling or dispatch in construction or emergency services preferred
- Fast learner with a willingness to learn new programs and procedures
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Ability to work in a fast-paced environment and handle emergency situations with composure
Job Type: Full-time
Pay: $20.00 - $22.50 per hour
Expected hours: 40 per week
