Job Overview:
We are seeking a highly organized and motivated Administrative Assistant to join our team and support our day-to-day operations. The Administrative Assistant will play a crucial role in maintaining the efficiency and effectiveness of our office operations. This position requires excellent organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously. The ideal candidate will be proactive, resourceful, and capable of providing high-quality administrative support to our team.
Key Responsibilities:
· Answer and direct phone calls, taking messages and handling inquiries as appropriate
· Schedule and coordinate appointments, meetings, hotel stays, and service calls for technicians
· Maintain and update customer records, ensuring accuracy and confidentiality
· Prepare and distribute correspondence, memos, and reports
· Prepare customer billing as well as manage accounts receivable
· Order and manage office supplies and equipment, ensuring the office is well-stocked and organized
· Handle incoming and outgoing mail and deliveries
· Support the management team with various administrative tasks and projects as needed
· Maintain a clean and organized office environment
Qualifications:
· High school diploma or equivalent; additional qualifications in office administration are a plus
· Proven experience as an administrative assistant or in a related role
· Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
· Excellent communication and interpersonal skills
· Strong organizational and time-management abilities
· Attention to detail and problem-solving skills
· Ability to work independently and as part of a team
· Familiarity with HVAC industry or service-related businesses is preferred but not required
