Position Summary:
The Client Intake Specialist will report to the Conflicts Manager while also taking direction from the Client Intake Coordinator, Conflicts & Intake Attorneys and the Director of Risk Management. The position will work closely with other members of the Client Intake and Conflicts Department and assist in carrying out key processes that support the Firm's critical client/matter intake and risk management functions.
Position Responsibilities:
- Processes client and matter intake forms for new and prospective business
- Manage team email inbox and responds to inquiries as needed
- Organizing and Filing of email and other electronic records as appropriate in conjunction with intake processes
- Follow-up with attorneys, legal assistants and other firm personnel to provide support around intake submission and matter maintenance
- Participates in client intake assignments, including client and matter openings and special database projects
- Handles confidential information on a routine basis including special matters and incoming lateral hires
- Other duties as assigned
Position Requirements and Desired Skills:
- Bachelor’s degree, preferred
- Prior experience in a midsize to large law firm preferred
- Prior experience in client intake, conflicts or records department in a law firm is a plus
- Prior experience with Intapp Open and Elite 3E software and excel is a plus
- Accuracy, attention to detail and good organizational skills
- Demonstrated good business judgment and analytical skills are essential
- Ability to work under pressure in a fast-paced environment
- Strong time-management skills and ability to multi-task, adapt to changing priorities, meet deadlines and manage a heavy workload
- Strong client service focus and ability to work effectively individually and in a team environment
- Proficient knowledge of large firm practices and operations
- Excellent oral and written communication skills
- Ability to work under pressure in a fast-paced environment
- Strong time-management skills and ability to multi-task
