Overview:
We are seeking a highly organized and detail-oriented Executive Assistant/Human Resources Assistant to join our team. As an EA/HR Assistant, you will support the CEO and assist the Human Resources Department. Additionally, you will play a crucial role in supporting our daily operations and ensuring smooth office functioning.
Responsibilities:
- Managing emails, phone calls, and reports for the executive
- Coordinating travel arrangements for executive
- Updating the executive’s calendar, including adding events, rescheduling appointments, and providing daily briefings
- Acting as the gatekeeper for internal and external contacts, including vendors, colleagues, clients, and customers
- Ensuring important information and documents are organized physically and electronically such as reports, meeting notes, emails, and letters
- Organizing and preparing for internal and external meetings or events, including gathering documents and attending to meeting logistics
- Conducting research on various topics based on the needs of the executive
- Organizing and maintaining personnel human resources records
- Updating internal databases (e.g. record sick or maternity leave)
- Preparing HR documents, like employment contracts and new hire guides
- Revising company policies
- Liaising with external partners, like insurance vendors, and ensuring legal compliance
- Creating regular reports and presentations on HR metrics (e.g. turnover rates)
- Answering employees queries about HR-related issues
- Assisting the payroll department by providing relevant employee information (e.g. leaves of absence, sick days, and work schedules)
- Arranging travel accommodations and processing expense forms
- Participating in HR projects (e.g. organizing job fairs)
Qualifications:
- Proficiency in Microsoft Office & Google Suite
- Superior organizational skills, with the ability to prioritize important projects
- Meticulous attention to details
- Excellent communication and interpersonal skills
- Ability to manage your time well
- Managing sensitive information with discretion
- Aptitude for learning new information quickly
- Willingness to work in a fast-paced environment
- Experience as an HR Administrator, HR Administrative Assistant, or similar relevant role
- Bachelor’s Degree required or comparable experience

Pay: $75,000.00 - $80,000.00 per year
