Position Summary: The Office Manager at Center for ABA is a key administrative role responsible for ensuring the smooth and efficient operation of our office. This role involves a mix of administrative, HR, and operational duties, and requires a highly organized, detail-oriented individual with strong interpersonal skills. The Office Manager will work closely with the executive team to support various functions and contribute to the overall success of the company.
Key Responsibilities:
Office Administration:
- Manage day-to-day office operations, including maintaining office supplies, equipment, and facilities.
- Handle incoming calls, emails, and correspondence, ensuring timely and professional responses.
- Oversee scheduling and coordination of meetings, appointments, and events.
- Maintain organized records and filing systems, both physical and digital.
Human Resources:
- Assist with onboarding new employees, including preparing new hire paperwork and conducting orientation sessions.
- Manage employee records, including attendance, leave requests, and performance reviews.
- Coordinate staff training and professional development activities.
- Support HR processes such as recruitment, employee relations, and compliance with labor laws.
Financial and Reporting:
- Assist with basic bookkeeping tasks, including processing invoices, and expense reports.
- Prepare and submit regular reports to the executive team, including operational and financial data.
- Coordinate with external vendors and service providers as needed.
Client and Staff Support:
- Serve as the first point of contact for visitors, staff and clients - providing a welcoming and professional atmosphere.
- Address staff or client inquiries and concerns, escalating issues to appropriate staff members as needed.
- Support therapists and clinical staff with administrative tasks to ensure seamless service delivery.
Operational Efficiency:
- Implement and improve office policies and procedures to enhance efficiency and productivity.
- Manage office projects and initiatives, ensuring timely completion and alignment with organizational goals.
- Maintain a safe and organized office environment, adhering to health and safety regulations.
Qualifications:
Education and Experience:
- Bachelor's degree in Healthcare Administration, Psychology, Business Administration, Management, Liberal Arts, Communications or a related field.
Skills and Competencies:
- Excellent organizational and multitasking abilities, with a keen attention to detail.
- Strong written and verbal communication skills.
- Proficiency in office software, including Microsoft Office Suite and Google Workspace.
- Ability to work independently and as part of a team, managing multiple priorities.
- Problem-solving skills and a proactive approach to challenges.
