The Patient Care Coordinator performs a variety of clerical duties and front office operations in support of patient care activities, ensuring even patient flow and continuous communication with the Radiation Oncologists, referring physician offices and organizational staff. The Patient Care Coordinator displays and practices a work-style that reflects the mission, vision and values of Radiation Oncology, as well as the organization.
Responsibilities:
- Facilitate patient check-in via ARIA System
- Promptly greets patients and visitors in a courteous manner
- Answer phones, assist walk-in patients, consistently provide timely and accurate information to patients, referring physician offices, organization personnel and public sector to achieve the highest possible level of satisfaction
- Collect initial demographic and clinical patient information and enters information into the medical record
- Compile charts for new patients and prepares paperwork for the next day
- Support administrative functions for the Radiation Oncology department as requested
- Assist in maintaining appropriate supply levels of printed materials, replenishing stock as needed
- Support patient appointment schedule, placing calls to patients who need appointment notifications or reminder, including time, date and address/directions for facility
- Scan physician, nursing and radiation therapy documents into ARIA System to provide a complete medical record
- Organize and request necessary documentation, records and imaging from multiple sources
- Actively log descriptive statistical data pertaining to the Radiation Oncology department
- Ensure front office equipment functions properly
- Release patient records as requested by insurance companies, audits, attorneys, etc. Adheres to all HIPAA guidelines as related to the release of patient information. Maintains confidentiality of all patient data (verbal, written, electronic)
- Receive, process and post payments
- Assist with Wichita Urology Group Clinic as needed
- Perform other duties as assigned
ACT Closing Duties
- Turning off lights/lamps and TV
- Turning on answering service (phone to night mode)
- Clean coffee station
- Locking front doors
Qualifications:
- High school diploma or GED equivalent, required
- 1-2 years of Registration experience in a medical practice, preferred
- Previous EHR experience, preferred
- Customer service experience
- Computer capable
