Front Desk Receptionist
ALT Recovery Group is an outpatient treatment center that provides medications for people suffering with opioid use disorder. The ALT group provides outpatient counseling, groups, and medications in a medical type of setting.
We are currently seeking a Front Desk Receptionist for our Chatsworth, CA location. The ideal candidate will be customer service oriented, compassionate for those who are struggling, detail oriented, have the ability to multi-task, and be able to work in a fast paced environment.
Responsibilities:
Administrative Assistant Job Description
- Answer phone, forward calls to appropriate staff, take messages as needed
- Answer phone and in-person inquiries about the intake and transfer procedures
- Distribute office correspondence/faxes to appropriate staff and upload to the appropriate place
- Ensure communication among various departments in the clinic
- Take meeting minutes during team meetings and upload into the shared drive
- Check in patients through Methasoft system and enter all new patients ‘information into Methasoft
- Collect patient fees, enter accurately in Methasoft, payment is immediately dropped in the safe
- Communicate with the billing department appropriately and attend trainings with them as needed
- Stay up to date on Relias trainings and other assigned trainings
- Run intake audits as appropriate
- Attend staff meetings as directed
- Advise dosing nurse prior to patient dosing if patient appears impaired at check-in
- Schedule patient Intakes first follow-up visit with Clinic Doctor
- Enter/discharge patients through Central Registry and make sure intakes are registered with Central Registry before dosing
- Facilitate intake process by confirming patient’s UA are completed; patient photo is taken and uploaded into Methasoft; appropriate fees are collected (if applicable); all consents have been signed prior to the counselor and medical intake appointment
- Monitor doctor’s schedule and advise when patients are ready for appointment
- Maintain appropriate boundaries in all contact with patients
- Maintain confidentiality of sensitive data and patient identities
- Assist with designing and implementing office policies and procedures
- Check Medicaid eligibility monthly and upload verification into Methasoft
- Ensure a safe work environment for employees and patients - run safety drills each month, document and upload into the shared drive. Review in team meeting to ensure the drill is closed out and follow up with uncompleted tasks / needs
- Collect and facilitate UA collections as flagged in the patients chart. Processing them properly and getting them ready for pick up.
- Read and address flags in methasoft as appropriate.
- Proform good customer service and ensure that our patients are receiving trauma informed care.
- Demonstrate de-escalation skills to properly and safely support our patients.
- Assist Office and Program Manager with the following tasks:
- ensuring an adequate inventory of supplies and equipment in the office
- maintaining office equipment and scheduling repairs whenever necessary
- designing a filing system and ensuring that these systems are up to date
- developing a procedure for maintaining records
- Communicate with supervisor when malfunctions happen - uses the chat, emails and phone calls appropriately
- Submit monthly supply orders to the appropriate person to keep the clinic properly stocked.
- Document situations in the patient's chart in methasoft under case notes
- Maintain a clean and functioning work environment and support the team in routine cleanings
- Participate in meetings conducted by management about the organization's policies and the steps it plans to take for its strategic development and take minutes
- Stay up to date in industry standards by continuing education, participating in workshops, and continually learning about new front office/receptionist procedures
- Occasionally involves light work: exerting up to 20 pounds of force and/or up to 10 pounds of force
- Occasionally lift to 20 pounds
- Able to pass random drug screens
- Other duties as assigned
Experience:
- Customer service: 1 year (Preferred) or more (Req.)
