Overview:
This is a receptionist position with some administrative skills. Basic computer skills required including G-Suite, MS Outlook and Word. General hours are 9am-12pm Mon-Fri, (with the possibility of additional hours worked remotely), totaling 20 hours per week of work.
Duties:
- Answering the phone
- Processing the mail
- Monitoring email
- Receiving visitors
- Doing duties "as assigned" (to include scanning files, cutting things out, stuffing bulletins, etc.)
Essential Functions and Responsibilities:
OPERATIONS SUPPORT (most important, and primary responsibility)
- Greet visitors and members warmly and professionally and in accord with security practices.
- Maintain standard office hours (currently 9-12, Mon-Fri) as directed by policy. Additional remote hours possible.
- Manage vendor relationships as directed.
- Sort incoming communications (such as USPS mail, emails, phone messages, online inquiries) and direct them to the appropriate staff members
- Will assist with maintenance and repair for all office equipment.
- Provide general office support and maintain appropriate inventories of office supplies
- Create promotional materials using Canva.com
- Administer church-adopted administrative policies and procedures to achieve the goals of the church.
OFFICE ASSISTANT
- Serves as primary administrative support to Head of Staff.
- Assists two other Directors (Youth and Music) as needed
- Assist with the management of the Head of Staff’s calendar (Google Calendar and Calendly).
- May learn and assist with completion of weekly e-news (Mailchimp)
- Other duties as assigned
ADMINISTRATIVE LIAISON TO TEAMS
- Communicate warmly and professionally with various teams within the church.
- Ensure team order requests are processed and supplied weekly. (i.e. Connect cards, welcome supplies, offering envelopes, printing requests etc.).
- Handle regularly or sporadically occurring correspondence as directed
- Oversight of new member assimilation to include, but not limited to, data entry, ensuring first touch calls are made, sending out new member letters or text messages, etc.
- Assist if/as needed in preparing materials for Baptism, Communion, and Baby Dedication.
- Assist if/as needed to ensure facility rental, wedding, and funeral processes are managed in an excellent way.
- Implements procedures for handling inventory of all supplies (Admin, Ministry, Facilities).
- Type and duplicate weekly bulletin and weekly worship powerpoint presentation

- Proficiency in Office: Outlook, Word, Excel, and Publisher
- Skilled in using G-Suite including Google Calendar (and ability to quickly integrate Calendly with it)
- Ability to learn and use Ekklesia360 the web hosting platform
- Ability to learn and use Mailchimp, “e-news”
- Ability to learn and use Canva and Publisher, promotional and publishing software
- Ability to identify, learn and use new technology to meet the demands of the job

Accountability: This position is accountable to the Pastor, as head of staff.
Job Type: Part-time
Pay: $15.00 - $18.00 per hour
Expected hours: No less than 20 per week
