Job Title: Administrative Assistant
Job Summary:
We are seeking a detail-oriented and organized Administrative Assistant to join our team. The ideal candidate will provide administrative support, handle various tasks efficiently, and contribute to the smooth operation of our office.
Position Summary
The position of the Administrative Assistant has the primary responsibility of providing administrative support to upper management, specifically with assisting the CEO with day-to-day administrative duties, through a variety of tasks related to organization and communication. This person will be responsible for confidential and time-sensitive materials and must be familiar with a variety of office concepts, practices, and procedures.
Essential Functions & Requirements
· Prior experience scheduling and coordinating large group meetings and event planning is required.
· Schedule appointments and maintain calendars.
· Schedule and coordinate internal and external meetings with team members.
· Accurately prepare communications, such as memos and correspondence, emails, and reports.
· Must be a proficient writer. Write and edit documents – letters, reports, and instructional documents.
· Proficient in Microsoft Word, PowerPoint, and Excel.
· Create and maintain effective filing systems, both electronic and physical hard copies.
· Make independent decisions daily, addressing the best way to handle specific tasks.
· Confidentially collaborate with other administrative staff, support staff, management, and clients on a regular basis.
· Ensure that work is completed accurately, delivered of high quality, and in a timely manner.
· Exhibit strong organizational skills and establish appropriate tasks priorities.
· Take proactive steps by asking questions for clarity, ensuring you have the support you need to accomplish departmental goals in a timely manner.
· Detail-oriented and skilled at crafting documents.
· Work with each department to have a thorough understanding of their procedures and process in accordance with the Plan Doc and SPD.
· Perform such other duties, tasks, and responsibilities as may be assigned by the CEO from time to time.
· Responsible for ordering supplies and inventory for the office.
Qualifications:
- Proven experience in administrative roles or similar positions (5 years preferred).
- Excellent communication skills both written and verbal.
- Proficient in Microsoft Office suite (Word, Excel, Outlook).
- Strong organizational skills with the ability to prioritize tasks effectively.
- Detail-oriented with a high level of accuracy in work.
- Ability to work independently as well as part of a team.

Pay: $21.63 - $24.00 per hour
