The Bookkeeper contributes to the Domestic Abuse Project of Delaware County's mission of preventing domestic violence and empowering victims to move towards self-sufficiency by supporting all of the financial functions of the Agency. This position reports to the Senior Director of Finance and Administration and provides a high level of customer service to agency staff, vendors and other fiscal stakeholders.
Accounts Payable
- Post electronic vendor payments and process checks accurately in QuickBooks, allocating expenses across programs and funders as needed.
- Communicate with vendors and colleagues regarding payment and tax issues.
- Import journal entries into QuickBooks after completing Excel-based allocation models.
- Process employee expenses per Agency policy & procedures.
- Attach correct documentation to invoices & reconcile purchase orders to invoices received.
- Maintain Accounts Payable records (paper & electronic).
Accounts Receivable
- Record grant invoices and retail sales receipts in QuickBooks.
- Record payments and deposits in QuickBooks.
Other Responsibilities
- Reconcile multiple bank and credit card accounts monthly using QuickBooks.
- Maintain monthly financial workpapers and assist with preparation of financial statements.
- Assist with budget creation and financial reporting, to include forecasts and projections.
- Prepare and file IRS Forms 1099 annually.
- Maintain fiscal department paper and electronic files.
- Provide account analysis and financial reports as needed, using QuickBooks and/or Excel.
- Assist with audit and grant monitoring preparation and process.
- Accurately and consistently meet deadlines in an ever-changing environment.
- Perform other duties as assigned.
Job Requirements
- Associate's degree required, Bachelor’s degree in Accounting or relevant certification preferred.
- 3 years’ experience as an Accountant, Bookkeeper or similar role.
- Proficient in QuickBooks Online.
- Strong Excel skills, including advanced functions.
- Professional demeanor, ability to show flexibility and reprioritize due to outside influences.
- Excellent oral, written, organization and communication skills.
- Highly-organized and able to work independently, with interruption.
- Prolonged ability to sit at a desk and perform required computer tasks.
- Physical ability to move or transport supplies or other equipment weighing up to 25 pounds, potentially while ascending or descending stairs.
