Personal Assistant Role
The PA is expected to provide day-to-day general onsite support to the Principal and pet dog Benji as needed. General responsibilities include Household calendar and appointment management, personal errands, shopping, vendor supervision, cooking, light housekeeping and laundry as needed.
The PA is flexible with a 24/7 mindset, highly organized, proactive and an excellent communicator.
Schedule
- Monday-Friday 8-5pm, weekends as needed and agreed in advance
- 1 hour lunch 12:30-1:30
- 2 weeks paid vacation included
Key Responsibilities
- Benji -PA will walk Benji 2-3 a day as needed during their shift and is primarily responsible for Benji care including feeding while the Principal is in the New York area. PA will be in charge of sourcing and scheduling overnight sitters and dog walkers as needed and ensuring proper grooming. If PA fails to schedule care for Benji the PA will be responsible for Benji care.
- Liaising cohesively with other team members in bringing together all aspects of his life
- Efficient personal calendar planning week to week; ensuring awareness of all appointments and timely travel time to and from appointments, including doctor’s appointments, personal appointments and other commitments / events etc., all of which to be coordinated alongside the Principal’s work commitments and calendar.
- Arranging, changing, and canceling any appointments, reservations (including ticket purchases) and memberships as requested by the Principal – ensuring they are aware of cancellation policies
- Efficient property calendar planning week to week; ensuring the principals are aware of all upcoming works and appointments within the home. Ensuring no clashes with big events at the home.
- Assisting with projects and research as required, including travel and entertainment, health and wellness efforts, new 3 party vendors, restaurants etc.
- Helping with the day to day requests of the principal and any extended family or associates as needed
- Pet care to include dog walks, feeding and sitting, and occasional trips to the vet and groomers as needed on weekends
- Personal shopping and errand running – to include, gift purchasing, groceries, clothes, etc.
- Light meal prep, or easy cooking with recipes, preparing daily vitamin bags
- Managing and coordinating the travel calendars as needed alongside the House Manager
- Organizing travel and holidays including transportation, activities and accommodation when requested. Putting together itineraries and coping with last minute changes/requests, working alongside the House Manager and potentially the EA
- Packing and unpacking the principal for travel
- Bookings restaurants and holding tables prior to the principal’s arrival
- Planning and organizing events, to include scouring staff/ vendors and liaising with guests as required
Additional Support
- Looking after guests during events
- Organizing clothes donations/ general organizing and decluttering of the home as requested
Supplies
- Ordering supplies including pet food and care items for Benji
- Checking fridge and pantry stock, checking for expired items and replenishing where needed
- Monitor deliveries and arrange returns
- Sorting mail, separating junk

Property Management
- Ensuring property is clean, stepping in to help with light housework if the housekeeper misses details or is off for the day
- Assisting with laundry if the housekeeper misses anything
- Ensuring property is very well organized, to include wardrobes, kitchen cupboards, linen cupboards, etc.. Working through the home step by step to ensure organizational projects are completed
- Working from the home with their home support team to oversee suppliers, contractors and various appointments as needed
- Organizing supplier, contractor and other appointments as needed – working alongside the House Manager to ensure no overlap
- Managing the suppliers and emergency contact lists, making amendments as needed
- Ensuring the property is ‘guest ready’ as needed, to include; checking that all equipment is working, undertaking walkthroughs as necessary
- Supervising household staff; typically just housekeepers and maintenance if applicable
Requirements
- Strong command of English language; good communication skills, both written and verbal
- Legally able to work within the United States
- Legally able to travel internationally
- Lives in the surrounding area
- Happy to travel if HM is on PTO or as required with advance planning
- Minimum 2 years working in a similar role
- Must like working with dogs
- Excellent references required from both current and previous employers
- Happy to have a background check run (criminal & driver)
- Happy to sign a confidentiality agreement and non-disclosure agreement

Pay: $30.00 - $35.00 per hour
