**Job Overview:**
Position Title: St. Mark’s Office Secretary
Location: St. Mark’s United Methodist Church, Charlotte NC
Reports To: Pastor/ HR Chair
Job Type: Full Time
Salary Range: 40,000- 45,000
Job Summary: The Office Secretary will play a crucial role in ensuring efficient administrative operations within the office. This is not a remote position. The expectation is for a minimum of 35 on-site hours. This individual will be responsible for handling various clerical tasks, providing support to staff and ministries, and serving as the first point of contact for visitors who come to the church during the weekdays. The ideal candidate is highly organized, detail-oriented, and possesses excellent communication skills.
Key Responsibilities:
1. Administrative Support: Perform general clerical duties: photocopying, faxing, mailing, and filing, etc. Manage and maintain office supplies inventory, placing orders when necessary. Handle incoming and outgoing correspondence, including emails, letters, and packages. Prepare and edit the weekly worship guide and special programs. Assist in the preparation and maintenance of churchrecords, including personnel files and financial documents. 1. Track worship and Sunday school attendance. 2. Generate financial reports.3. Prepare giving statements quarterly. Ensure accuracy and confidentiality of all information.o Issue payroll and other checks twice a month. Pay bills/ invoices twice a month. Coordinate and maintain facility usage and bus request forms. Schedule meetings and appointments for the pastor and the church. Provide administrative support to various ministry departments as needed.2. Reception Duties: Greet visitors and vendors in a professional and friendly manner. Answer, screen, and forward incoming phone calls. Other hospitality duties as needed.
3. Communication: Serve as a point of contact for church members, staff, and clergy.o Relay important information and messages promptly and accurately. Coordinate and communicate office activities and schedules. Prepare a printed and online ministry calendar. Handle special projects and assignments. 4. Office Organization:o Ensure the office environment is clean, organized, and welcoming. Monitor and address any maintenance or repair needs in the office.
Qualifications:
- High school diploma or equivalent; additional qualifications are a plus.• Proven experience as an office secretary, administrative assistant, or in a similar role.• Proficient in MS Office (Word, Excel, PowerPoint) and office management software.• Excellent written and verbal communication skills.• Strong organizational and time-management skills.• Ability to multitask and prioritize tasks effectively.• High level of integrity and professionalism.• Ability to work independently and as part of a team.
