Based in our Boston, MA office, Hinckley Allen is seeking an Office Services Assistant to join our team.
Essential duties and responsibilities of this role include:
- Copy documents, case files or other materials as requested.
- Ensure utilization of appropriate logs for all office services work performed.
- Troubleshoot basic equipment problems.
- Prioritize workflow effectively to ensure successful completion of job/assignments.
- Perform work in office services, primarily in the area of reprographics and mail and intake functions, according to established procedures. This includes loading machines with paper, toner, supplies, etc.
- Sort, distribute and process internal and external mail.
- Collaborate with Receptionist with regards to providing conference rooms and hospitality related services; provide reception support as needed.
- Perform Quality Assurance on own work and work of others.
- Coordinate courier services for pickups and deliveries.
- Prepare nightly mail and overnight packages for courier pickup.
- Assist in preparation of all direct marketing mailings.
- Maintain the orderliness of the copy areas.
- Make bank deposit runs for the Firm.
- Operate binding machines.
- Assist with office moves.
- Inspect and stock conference room office supply areas.
- Work overtime when required to perform essential office services responsibilities of the position.
Knowledge, Skills and Abilities Required:
- High school diploma and/or equivalent relevant experience.
- Minimum one (1) year office services experience with a focus on digital reprographic services, preferably in a legal, banking or large corporate/professional services firm.
- Skilled in the use of mail, phone, digital reprographics and mail equipment, and familiarity with general back-office procedures to meet wand maintain client satisfaction.
- Strong interpersonal and communication skills.
- Strong attention to detail.
- Ability to lift weight up to 50 pounds.

Pay: $49,000.00 - $60,000.00 per year
