Title: Human Resources and Payroll Specialist

Maison Marques & Domaines, Inc. is seeking a Human Resources and Payroll Specialist to join our HR team. This role demands a professional with extensive knowledge of payroll processing, proficiency with HRIS, and accounting software, ensuring the utmost compliance and accuracy of data. Your effective communication skills and strong internal customer service will be crucial in our fast-paced, deadline-driven environment.
This is a full-time, salaried position with benefits located in our Oakland, CA office.
Key Responsibilities:
HR and Payroll Coordination:
- Lead recruiting effort: post jobs online, conduct first screening, coordinate interviews, run background check, draft offer letters
- Process hires, changes and terminations in ADP
- Perform new hire orientation and exit interviews
- Update HRIS database with employee records, scan and save all documents to employee files.
- Handle administrative duties such as employment verifications and garnishments.
- Manage responsive communication with employees, addressing inquiries regarding payroll and benefits.
- Maintain payroll exception sheet
- Run by-weekly payroll for hourly and salaried employees
Accounting and Financial Management:
- Assist in bank transfer for payroll and 401k funding
- Maintain payroll journal entry and accruals, and conduct thorough reporting and reconciliations of employee engagement financial records.
- Execute biweekly 401k uploads to the record keeper and ensure accuracy through meticulous audit reporting.
- Prepare monthly and quarterly health benefits and workers' compensation reporting and allocation maintaining compliance and accuracy.
- Develop advanced level system reports and perform rigorous audits to ensure data integrity.
- Prepare annual pension, bonus and salary base worksheets
- Prepare year end PUA (personal use of auto-company car) and life insurance for W2 reporting
Benefits administration
- Reconcile benefits statements monthly and conduct related payroll reconciliations.
- Facilitate annual open enrollments
- Manage Cobra administration
Reporting/Analysis:
- Support director of HR with reporting requests
- Produce and audit HRIS reports, assisting management with decision-making.
- Compile and analyze statistical data for benefits, premiums, and employment changes
What You'll Bring to the Table:
- A solid track record (5+ years) in HR, HRIS management and payroll processing.
- Proficiency in ADP preferred
- A keen eye for detail and superb organizational skills.
- Excellent communication and customer service prowess.
- A proactive and efficient approach to handling high-volume work in a fast-paced environment.
- Strong background in accounting, with experience in payroll accruals, financial reconciliations, and reporting.
- Proficiency in Microsoft Excel and database systems, with the ability to create advanced reports.
- Excellent organizational skills, attention to detail, and ability to meet deadlines in a high-paced environment.

Pay: $65,000.00 - $70,000.00 per year
