Position Summary:
Our client is seeking a dedicated and experienced Office Manager to oversee the day-to-day operations of their office. The ideal candidate will have a construction background, preferably in the service installation sector, and will be responsible for managing scheduling requirements, billing information, client communication, and more.
Key Responsibilities:
- Office Management: Run the entire office, ensuring smooth operations and efficient workflow.
- Scheduling: Manage and coordinate scheduling for installations, repairs, and other services.
- Billing and Invoicing: Oversee billing processes, ensure timely and accurate invoicing, and manage accounts receivable.
- Client Communication: Serve as the primary point of contact for clients, handling inquiries, scheduling appointments, and providing updates.
- Administrative Support: Provide administrative support to the team, including filing, data entry, and document management.
- Team Coordination: Coordinate with the service installation team to ensure project timelines are met.
- Supply Management: Monitor office supplies and place orders as needed to ensure adequate inventory levels.
- Reporting: Prepare regular reports on office activities, financials, and project statuses for management review.
Qualifications:
- 3+ years of office management experience, preferably in the construction or service installation sector.
- Bachelor’s degree in Business Administration, Management, or a related field is preferred.
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Familiarity with billing and invoicing processes.
- Ability to handle confidential information with discretion.
- Detail-oriented with a strong focus on accuracy.
- Proactive and able to work independently.
- Customer-focused with a commitment to providing exceptional service.
- Team player with the ability to collaborate effectively with colleagues and clients.
