Huff Powell Bailey is a fast-growing medical malpractice law firm in Atlanta seeking an experienced insurance defense legal assistant with flexible work hours and a maximum of 37.5 hours per week. The ideal candidate should have Insurance defense on the defense side with at least three years of legal assistant experience. Med-mal experience is also preferred. Must have robust scheduling and calendaring expertise, experience coordinating and confirming the scheduling of meetings, depositions, and mediations, and making travel arrangements, used to fast desk with high case volume and high email volume. Solid proofreading skills are a must. Experience setting up new cases, strong attention to detail, deadline-driven, and must-have e-filing (electronic filing). Experience requesting medical records and writing memos, pleadings, and letters.
This candidate should also have experience saving incoming and outgoing documents in the electronic case file. Experience submitting vendor invoices for payment, submitting attorney expenses, prepare templates for responsive pleadings (shells). Must be a team player, always ready for the next challenge, self-motivated, attention to detail, critical thinker, problem solver, organized, a fast learner, can multi-task, can take direction, is open to constructive criticism, and willing to go the extra mile is a must. Additionally, only candidates with 3 to 5+ years of experience should apply for this position. You will provide a broad spectrum of legal services and support under the supervision of the team paralegals.
- Provide administrative support to lawyers and enhance office effectiveness.
- Handle communication with clients, witnesses, etc.
- Respond to clients and other attorneys/legal staff professionally to best represent the firm.
- Save and distribute all electronic pleadings from outside counsel and e-filing system notifications to case files and distribute accordingly internally within 24 hours of receipt.
- Save all incoming and outgoing case documents in an electronic case file with some incoming case documents; route all incoming mail.
- Proofread and prepared correspondence and memos in the appropriate template.
- Submit vendor invoices for payment.
- Locate and develop case-relevant information.
- Type up and file essential legal documents and correspondence.
- Calendar and monitor deadlines
- Maintain contact lists
- Monitor deadlines and juggle calendars.
Skills
- Proven working experience as a legal assistant or legal secretary
- Familiarity with law, legal procedures and protocols, and the court system
- Satisfactory knowledge of the day-to-day operations of a legal office
- Computer Literacy and Proficiency in English
- New case setup which includes the following: (within 1-2 days of assignment)
- Working knowledge of case management software
- Prepare templates for responsive pleadings referred to as Shell(s).
- Coordinate and confirm the scheduling of depositions, meetings, phone calls, mediations, etc., and organize any court reporters, notices of deposition, and travel arrangements associated with these events.
- Prepare medical or depo notebook binders as requested.
- Proofread and finalize pleadings when the attorney advises that they are ready to be filed & served (generally on the same day). File pleadings with the Court and serve attorneys with the same by email and mail.
- Provides clerical assistance to paralegals and instruction to office services staff as needed.
- Research, retrieve, and update appropriate information in client case files, including File Info Sheet, expert checklists, 0List, etc., to keep case files current.
- Ability to juggle multiple activities and work under pressure
- Bachelor's Degree preferred: Prior legal secretarial procedures and techniques preferred.

Pay: $55,000.00 - $68,000.00 per year
